A preventive maintenance plan turns a known service requirement into prepared work.
Preventive maintenance is planned service intended to inspect, maintain or replace defined equipment items before an unplanned fault determines the schedule. A usable plan names the covered assets, timing anchor, work scope, responsible team and evidence required to close each visit.
The short answer
A frequency without asset coverage and completion evidence is only a calendar reminder.
- Define the maintained asset before choosing a service interval.
- Separate the plan from the work order: the plan describes the repeated requirement; the work order describes the current job.
- Review completion evidence before deciding what the next service requirement should be.
Build the plan from the asset outward.
The chain keeps planning decisions separate from field execution. Use it to expose a missing owner, scope or completion rule before the first visit is prepared.
- Coverage: Name the maintained assets. Record the customer site, equipment identity and any contract or service boundary that determines what your team is responsible for. Working output: A clear list of covered equipment.
- Anchor: Set the timing rule. Choose the date or service anchor your team will review and state who can approve a change to it. Working output: A reviewable next service date.
- Work scope: Define the expected visit. Attach the appropriate checklist, expected duration, service team and any equipment-specific instructions. Working output: Prepared work that can become a visit.
- Close and review: Use evidence to close the cycle. Review results, findings, actions and the final report before confirming follow-up or the next planned service. Working output: A completed record and an explicit next decision.

The example separates the durable maintenance requirement from the current field visit. Machine-specific procedures remain the responsibility of the qualified service team.
- The service manager confirms the covered machine and the current service anchor.
- The dispatcher prepares the work order with the approved checklist and assigned technician.
- The technician records the completed checks and flags a condensate-drain finding for follow-up.
- The office closes the report and prepares the follow-up as a separate decision.
- Result: The recurring requirement stays stable while each visit records its own work, evidence and follow-up.
Define one maintenance plan before copying it.
Complete this checklist for one representative asset. Copy the plan only after the first workflow has been reviewed.
- Customer, site and exact assets covered by the service requirement are named.
- The timing anchor and the person allowed to change it are clear.
- The service team and field responsibility are defined.
- The current checklist version has a named technical owner.
- Expected evidence and the completion rule are written down.
- Findings that require separate work have a clear follow-up path.
- The final report and completed visit return to the asset history.
Do not hide weak scope behind a recurrence rule.
“Every quarter” explains timing, not responsibility. A service team still needs to know which equipment is covered, which checklist applies, what counts as complete and how a finding becomes follow-up work. Treat service contracts, maintenance plans, work orders and field visits as related but different records. Combining them into one note makes later changes difficult to review.
Use a pilot plan to test the handovers.
Choose one common asset and one familiar service interval. Follow it from plan review to prepared work, field evidence and final report. The purpose is to reveal missing decisions before a larger set of plans is created.
- Check whether the dispatcher can prepare the visit without translating the plan.
- Check whether the technician receives the latest approved checklist.
- Check whether an open finding remains visible after the report is finalized.
